How to Add Date Information Columns
Introduction
As content libraries grow, teams need a clear way to understand when content was created, published, and last updated. Content Studio now provides greater visibility into these lifecycle dates directly from the My Content page.
Using Column Control, users can choose which date information appears in their content view, making it easier to review content history, monitor updates, and manage publishing activity across larger content libraries.
What Date Information Is Available?
Content Studio currently tracks three key dates:
Created Date: The date the content was originally created.
Published Date: The date associated with publication.
Updated Date: The most recent date on which the content was updated.
Previously, the My Content page primarily displayed the Created Date. Column Control now allows users to include Published Date and Updated Date as needed.
Step 1: Open My Content
Log in to Content Studio and navigate to My Content.
This page contains the content created through Content Studio, including items such as articles, FAQs, blog posts, and other supported content types.
Step 2: Open Column Control
At the top of the content table, locate the Columns icon.
Click the icon to open the available column settings.
Some core columns remain permanently visible, while optional columns can be displayed or hidden based on the information you want to review.
Step 3: Select the Dates You Want to View
From the Column Control menu, choose whether to display:
Created Date
Published Date
Updated Date
You can display one or multiple date columns together.
For example, showing all three provides a more complete view of the content lifecycle, from initial creation through publication and subsequent updates.
Step 4: Review Content History
Use the selected date columns to understand the status and history of individual content items.
This can help teams answer questions such as:
When was this content originally created?
When was it published?
Has it been updated since publication?
Which content has not been updated recently?
Which items were published during a particular period?
The feature is designed to give users control over which information is most useful for their workflow rather than displaying every available field by default.
Step 5: Adjust the View When Your Workflow Changes
You can return to Column Control whenever you need a different view.
For example, a content creator may focus primarily on Created Date and Updated Date, while a publishing or governance team may need Published Date alongside the other lifecycle information.
This lets different teams use the same content library without forcing everyone into the same table configuration.
Using Content Dates With CMS
The lifecycle information available in Content Studio can also be passed into CMS.
When Content Studio content is published to CMS, the system can provide:
Created Date
Published Date
Updated Date
The CMS implementation can then determine which of these dates should appear on the front end.
This separates internal content management from front-end presentation, giving teams more flexibility over how publication information is displayed to website visitors.
Supporting Content Accuracy and Freshness
The date controls do not automatically determine whether content is accurate or current. Instead, they provide the visibility teams need to make that assessment.
For example, an older Updated Date may indicate that a content owner should review the article, while a recent Updated Date provides a quick indication that changes have been made.
This makes lifecycle dates useful as part of a broader content governance process, particularly when teams are responsible for keeping large content libraries current.
Important Distinction Between the Dates
The three dates serve different purposes and should not be treated as interchangeable.
Created Date records when the content was first created.
Published Date represents the publication date associated with the content.
Updated Date changes as the content is modified.
Selecting multiple date columns can therefore provide more context than relying on a single date alone.
Current Scope
The current Column Control functionality supports Created Date, Published Date, and Updated Date.
During the sprint discussion, an additional concept was raised for preserving an original publication date separately from a front-end publication date. This was discussed as a possible future enhancement and is not part of the functionality covered by this release.
Recommended Workflow
For stronger content governance:
Open My Content regularly.
Enable the date columns relevant to your role.
Compare Published Date and Updated Date when reviewing older content.
Use date information to identify content that may require review.
Confirm that the appropriate date is being used in CMS for front-end display.
Update content when business information has changed.
Recheck the Updated Date to confirm that the latest revision is reflected.
Key Benefit
Column Control gives teams a clearer view of the content lifecycle without adding complexity to the default content table. By making created, published, and updated dates available when needed, Content Studio helps teams manage larger content libraries with better visibility and stronger governance.
